From Studio to Booth: Prepping for My Next Two Art Fairs

The countdown is officially on! With two upcoming craft shows on the calendar, my studio is in full preparation mode. Bringing hand-built ceramics and cozy fiber arts out into the community is one of my favorite parts of running a creative business, but getting everything ready takes intention, strategy, and plenty of checklist checking.

If you’re curious about what goes into preparing for a fair, here is my step-by-step prep routine for creating a welcoming, seamless market setup.

Step 1: Spread the Word & Recruit Booth Buddies

First up is getting the dates on everyone’s radar. I post official event announcements across my social channels so local market-goers can mark their calendars. Right after that, I send out texts to friends to see who might be available to join as a booth buddy. Having a supportive friend in the booth makes the day so much more fun and ensures there’s someone to hold down the fort during quick breaks.

Step 2: Inventory Planning & Making

Next comes the core work: auditing stock and building out a dedicated making list. I map out exactly how many items I need across each craft category to ensure a well-balanced table. During production, I make sure to create a few showpieces—larger or extra-detailed focal items that naturally draw eyes into the booth.

Step 3: Branding, Signage & Experience Design

A great booth is about creating an atmosphere. I review my signage needs—ordering updated price lists, promotional banners, or branded displays for social media tags. Then, I sketch out the physical layout to design a warm, cozy, and navigable space. To make the booth interactive, I like to incorporate an art activity or live demonstration element so visitors can connect directly with the creative process.

Step 4: Product QA, App Updates & Tagging

Administrative details keep the day running smoothly. I quality-check every single handmade item to ensure it meets studio standards, then apply clear physical price tags. On the backend, I open my sales app to update product listings, adjust inventory counts, and double-check pricing tiers for quick checkout on show day.

Step 5: The One-Week Countdown & Packing

About a week before load-in, the packing phase begins. I rely heavily on a detailed craft fair checklist covering everything from payment readers, extra packaging, and display risers to tape, scissors, and personal comfort items. Packing early eliminates morning-of stress and keeps the focus where it belongs—having fun and connecting with fellow art lovers.
